Position Overview:

We're looking for a Contracting & Operations Associate to join us for 6 months and support our small finance and operations team.

This is a hands-on, junior role covering day-to-day admin across finance, HR, recruitment, contracting and general operationss. You'll take on a wide mix of tasks, keep things organised and make sure nothing falls through the gaps.

This role will be integral in helping us keep running smoothly as we grow.

Responsibilities:

The main duties and tasks of the role include, but are not limited to:

Contracting

• Prepare and track contracts for suppliers, consultants and contractors using our standard templates

• Support the organisation across the procurement process

• Collect due diligence and compliance information before contracts are signed

• Use our systems (Hubspot, Monday) to keep a log of contracts, renewal dates and sign-off status

Finance

• Help process supplier invoices and staff expense claims, checking them against policy and getting the right approvals

• Help with month-end tasks, such as gathering receipts, matching transactions and chasing missing information

• Keep supplier and payment records up to date in Xero and Moss

HR and recruitment

• Support recruitment coordination from start to finish: post job adverts, track applications, schedule interviews, gather feedback from interview panels, and keep hiring managers, the HR Director, candidates and agencies updated so the process keeps moving

• Help with references and pre-employment checks

• Support onboarding and offboarding, including new starter checklists, system access, induction calls and welcome information

• Keep staff records up to date in Rippling

• Help coordinate staff and contractor paperwork across different countries

Operations and travel

• Support travel and events planning for staff and Board, in line with our travel and expenses policy

• Help organise team meetings and retreats, including venues and logistics

• Help support data entry and organise shared folders, trackers and keep the compliance calendar up to date

• Pick up general admin requests from across the team

Qualifications and Skills:

Essential:

• Some experience in an admin, operations, finance or HR support role (around 1–2 years)

• Strong organisation and attention to detail

• Confident managing lots of small tasks at once and keeping track of where things are

• Clear, friendly written communication

• Good working knowledge of Google Workspace and Slack, and comfortable learning new systems quickly

• Discretion when handling personal and financial information

It would help if you have:

• Experience with Hubspot, Rippling, Moss or similar tools

• Experience supporting recruitment or booking international travel

• Experience in a non-profit or grant-making organisation

• Experience working with a remote team across time zones

Equal opportunities

Tilt Collective is an equal opportunities employer. We believe a fairer food system needs a team with a wide range of backgrounds, perspectives and lived experience, and we encourage applications from people who are underrepresented in our sector.

We recruit and promote on merit. We don’t discriminate on the basis of age, disability, ethnicity, race, colour, nationality, religion or belief, sex, gender identity or expression, sexual orientation, marital or civil partnership status, pregnancy or parental status, caring responsibilities, socioeconomic background, or any other characteristic protected by law where the role is based.

If you need any adjustments during the application or interview process, contact the HR Director via the application and we’ll work with you to make them. You won’t be asked why, and asking won’t affect how your application is assessed.

If you’re excited about this role but don’t meet every requirement, we’d still encourage you to apply.
